Allow external email images
External images can contact a sender-controlled server. MailGen offers two choices for blocked images:
Event-driven mailbox views
Mailbox views use events to refresh search history, results, saved searches, schedules, and autonomous-sort progress. Sync Center operation/conflict refresh and passive-sort status refresh have separate behavior.
Passive sorting
Passive sorting evaluates saved folder and label rules in background work. A run is one saved batch of selected messages. Each message has a work record.
Sorter model defaults and limits
Sorter defaults control passive sorting separately from the general chat model. Read sorting and model access first.
Mailbox priority and scam assessments
Priority is MailGen metadata. It does not change Microsoft categories or importance. Mailbox introductions, AI profiles, and priority definitions use ownertenantid and owneruserid boundaries. See mailbox identities.
Synchronization states
Microsoft reads can run in parallel. The queue applies changes in order within each mailbox. A webhook records a durable hint: a saved notice that something changed. Delta reconciliation then reads provider changes to update the local mailbox copy, called its projection. See Microsoft Graph setup before configuring this connection.
Use Sync Center
Open Sync Center for the selected mailbox to inspect operations, conflicts, and diagnostics. First connect the mailbox through Microsoft Graph setup. The browser talks to the MailGen server. Do not enter Microsoft passwords or Graph tokens in Sync Center.
Mailbox view refresh
Mailbox notifications refresh the affected lists. The client combines overlapping refresh requests to avoid duplicate reads.
Cancel or reschedule a send
Use this procedure for an existing Microsoft schedule. Complete Microsoft Graph setup and save the draft before scheduling.
Saved agent history encryption
Saved Complexity conversations follow the optional owner policy that administrator groups can require for email data. A normal chat uses the Better Auth actor as owner. An automatic-reply case and its fork use the verified mailbox owner's key. See key setup.
Personal and organization contacts
The Contacts page shows the local catalog available to the selected mailbox. It can include personal contacts, organization members, guests, groups, and external contacts, subject to access.
Where MailGen stores mail
MailGen stores mailbox metadata, folders, operation states, and synchronization checkpoints in PostgreSQL. Message bodies and attachments live in object storage. The search index holds additional data for search. See the onboarding storage reference for object keys and tables.
Restore deleted folders and messages
Select the correct connected mailbox before restoring an item. Microsoft access requires Graph setup and current mailbox permission.
Recover a draft that cannot be scheduled
A Microsoft draft must exist at the provider before MailGen can schedule it. See Microsoft Graph setup for provider access.
Sending and the undo period
The server calculates the undo deadline for normal Send. During this period, use the application undo control to cancel work that has not reached submission.
Search indexes and availability
Email search uses local mailbox data and the OpenSearch index. Initial import alone does not make full-body search complete. Wait for the required indexing readiness state.
Case, accents, and word matching
New searches use Contains by default. A word fragment can match. Case and accent differences do not prevent a match. Enable Whole word, Match case, or Match accents to narrow the result.
Microsoft mailbox synchronization
MailGen maintains a local projection of each connected Microsoft mailbox. Complete Microsoft Graph setup before connecting a mailbox. Initial import copies existing data. Later webhooks supply durable change hints, and Graph delta reads reconcile the actual content.
Optional email encryption
Encryption is optional unless an effective administrator group requires it. Administrator access does not bypass that requirement. Read personal keys and unlock before enabling encryption.
Conversations and drafts
The conversation reader shows expandable message cards, newest first. Each card has Reply, Reply all, and Forward actions. A reply draft stays linked to its source message.
Schedule a message with Outlook
Use this procedure for a Microsoft mailbox with Graph access and a saved provider draft.
Track scheduled messages
Outlook owns delivery for an explicitly scheduled Microsoft message. MailGen observes provider draft state and projects it on Scheduled. Complete Microsoft Graph setup first.
Microsoft and Google mailbox providers
MailGen resolves the provider from the stored mailbox connection. Microsoft and Google accounts can appear in the same application. Supported operations still depend on the provider.
Times and time zones
MailGen stores instants in UTC. The interface formats them with the selected language and the feature time zone. A birthday is a calendar date, not an instant to shift between zones.
Return to a previous view
During a session, MailGen retains view state while you move between Mail, Contacts, Sync Center, and Scheduled. A Mail folder, filter, and selection belong to their mailbox.
Read organization contact details
Embedded and floating contact panels can show organization information beside personal mail history and notes. Organization fields are read-only. Microsoft directory access needs Graph setup.
Organization directory refresh
MailGen refreshes the configured Microsoft tenant directory in the background. Directory people can appear in contact search and organization panels. Prepare Microsoft Graph directory permissions first.
Real-time change notifications
MailGen notifies the browser when mailbox, search, or background-operation state changes. The view then reads current server data. The notification does not carry the complete message body.
Graph notifications and subscription recovery
WebhookCatcher accepts Microsoft Graph notifications as durable synchronization hints. Delta reconciliation reads the canonical provider content. A processed provider result supports Sync Center confirmation. Complete Microsoft Graph setup first.
